Clerical (Bi-lingual/ English & Spanish) El Centro, Imperial Valley
The Clerk is responsible for providing clerical and receptionist activities in support of an Immigrant Services Department.
Makes photocopies of applications and documents.
Places client information into case files.
Processes incoming and outgoing mail and case records.
Calls clients to remind them of their appointments and to request missing documents.
Enters information into program database
Tracks, orders and stores office supplies and forms.
Translates birth certificates and other documents as needed
Greets visitors and clients in a professional manner and directs them to appropriate staff.. Provides and collects in-take questionnaires to clients, and assists clients with completing the questionnaires.
Schedules clients and maintains waiting list and appointment book.
Receives, logs and secures fees associated with program as directed.
Becomes familiar with various applications under the direction of the staff attorney or BIA Case Manager (Forms: I-90, I-102, I-130, I-131, I-485, I-765, N-400, N-600, AR-11, etc.).
Answers multi-line phone, transfers calls to appropriate person, takes and delivers messages.
3. AGENCY ENGAGEMENT/ PROCEDURES
Keeps supervisor apprised of issues, complaints and / or concerns so that these can be resolved in a timely manner.
Participates in program and agency meetings and training.
4. EDUCATION and EXPERIENCE:
One year certificate from college or technical school; or three to six months related office experience and/or training; or equivalent combination of education and experience.
Ability to type a minimum of 35 wpm. Ability to operate various types of office equipment: computer, copier, fax, etc. Computer experience in Microsoft Office Software. Ability to work in a busy office environment and meet deadlines.
5. LANGUAGE SKILLS:
Fluency in Spanish. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information to clients, visitors and other employees of the agency. Ability to answer telephone in a pleasant and professional manner. Ability to translate civil documents from Spanish into English.
Employment Status: Non- Exempt
Work Schedule: Full Time /40 Hours – M-F (8 to 5)
Salary: $14.00-15.00 per hour, depending on experience
